How to Verify a Construction Supplier Before Paying

Construction material fraud is a real problem in Kenya. From fake cement to suppliers who take payment and never deliver, it pays to do your homework before sending money. This guide shows you exactly how to verify a supplier and protect yourself.

1. Check Their Physical Location

A legitimate supplier has a real, physical business location. Before placing a large order:

  • Visit their premises — see their stock, yard, or warehouse in person.
  • Check Google Maps — search for the business name and look for photos, reviews, and a verified location pin.
  • Be wary of suppliers with no physical address or those who only operate via WhatsApp/social media.

2. Verify Business Registration

Ask for and verify these documents:

  • Business registration certificate — from the Registrar of Companies
  • KRA PIN certificate — confirms they are tax-registered
  • County business permit — shows they are licensed to operate in that location

You can verify a business's KRA PIN on the KRA iTax portal to confirm it matches the business name.

3. Check Online Reviews and Reputation

  • Google reviews: Look for businesses with multiple reviews over time. Be cautious of those with zero reviews or only 5-star reviews posted in a short period.
  • Ask in construction groups: Facebook groups like "Building a House in Kenya" are excellent for getting honest feedback about suppliers.

4. Start with a Small Test Order

Before committing to a large order, test the supplier:

5. Verify Product Quality

  • KEBS mark: All construction materials sold in Kenya must have the Kenya Bureau of Standards (KEBS) Diamond Mark. Check for it on cement bags, steel bars, pipes, etc.
  • Brand authenticity: For branded products like cement, check that packaging matches the official brand design. Counterfeit products often have subtle differences in logo, colour, or text.
  • Weight and dimensions: A 50kg bag of cement should weigh 50kg. Steel bars should match their stated diameter. Bring a tape measure and scale to spot-check.

6. Use Safe Payment Methods

  • Pay to a business account: Send money to the company's bank account or M-Pesa business number (Buy Goods/Paybill), not a personal number.
  • Get a receipt: Always get a proper receipt or invoice for every payment. It should include the company name, KRA PIN, items ordered, quantities, and total amount.
  • Avoid full prepayment: For large orders, negotiate to pay a deposit (20–30%) and the balance on delivery.
  • Use M-Pesa for a paper trail: M-Pesa transactions create automatic records that can serve as evidence if there's a dispute.

Common Construction Supplier Scams in Kenya

  • The "too good to be true" price: Prices significantly below market rate usually mean counterfeit products, short quantities, or outright fraud.
  • Short deliveries: Ordering 100 bags but receiving 90. Always count deliveries in person or have your contractor verify.
  • Ghost suppliers: Online-only "suppliers" who take payment and disappear. Always verify physical location before large orders.
  • Counterfeit materials: Fake cement is a particular problem. It looks real but has been adulterated with sand or other fillers, weakening your structure.
  • Bait and switch: Showing you one quality of material but delivering a lower grade. Inspect deliveries carefully.
